When investing in an Enterprise Resource Planning (ERP) software, cost is always one of the first considerations that comes to mind. According to a study conducted by Software Advice, which helps buyers connect with software vendors, a number of factors come into play which influence the final price of an ERP system.

Number of Users and Customization Requirements

The study points out that larger businesses would typically have more users who need access to the system, requiring more applications and functionality, calling for a higher-priced system.

Customizations can increase the price as some businesses have more specialized processes, and in turn, need specific customizations that will support these.

Deployment Model

Pricing structures vary depending on the deployment model—whether on-premise or hosted. The bottom line: “the choice boils down to a high, upfront cost and lower recurring costs with an on-premise system, or a lower upfront cost with higher recurring costs when choosing a cloud-based system. Over time, these costs tend to converge,” the study notes.

Similarly, WebSan’s Microsoft Dynamics GP offering supports both an on-premise and hosted option, providing a simple and robust solution for your business.

Depending on the size of your business and how much you’re willing to spend, there’s an ERP software solution that can meet your needs!

Contemplating the security of your company’s data or server backups may make you want to just keep your head in the clouds. When deciding between going hosted or on-premise for your ERP system, there is much to be considered. However, going hosted offers some crucial benefits that cannot be overlooked. Here are the top three reasons why switching to a hosted ERP system is worth the effort:

1. Security

Going hosted means that you no longer need to worry about the state and security of your data. Your hosting provider’s data center can ensure that data is consistently backed up. You can go about your day knowing that you’ll always have access to your data when you need it.

2. Technical Know-How

Securing your data in the cloud and having a hosting vendor means that you can leave all the technical terms to those who know them best. You no longer have to think of “customizations,” “compliance” or “rebooting” and instead, you can focus on the data at hand and performing your day-to-day tasks.

3. Adaptable

Hosted Dynamics GP caters to all businesses. Whether you’re working for a small company that’s just starting out, a mid-sized company looking to reach new heights, or a large company delivering services across multiple cities, hosted Dynamics GP scales and grows according to your business’ needs.

Security concerns about Heartbleed and Microsoft Internet Explorer have been a large topic in the news cycle lately. It is important to understand that any site can be affected by a security defect. However, defects can only be exploited if users are not following proper web surfing practices. 2013 Year End Procedures In Dynamics GP

As 2013 comes to a close, we are all considering our New Year’s Resolutions to make 2014 the best year ever. This is a great opportunity to consider last minute adjustments for fine-tuning your business. Remember to follow all the recommended year-end procedures so that all associated systems are ready for the challenges of the New Year.

  • Reconcile all your books - Prepare your Balance Sheet, Profit and Loss Statement, Statement of Cash Flows and Statement of Retained Earnings.
  • Complete the posting procedures and the closing procedures for all relevant modules.
  • Post the final adjusting entries in General Ledger.
  • Make a backup.
  • Print any year-end financial statements that are required.
  • Set up a new fiscal year.
  • Close the fiscal year.

Another thing to verify as part of the year-end closing process is the company’s backup procedures. Many organizations have poor or non-existent backup procedures. If there is a hardware failure, the organization may not have a secure offsite copy of its business data to ensure things can pick back up quickly. WebSan provides top cloud security with our Hosted Dynamics GP solution, maintained in our state-of-the-art SAS 70 certified data centre located in Toronto

If you want to learn more about year-end procedures in Microsoft Dynamics GP, join our webinar on Thursday, December 19th, at 11:00 am EST and learn how to successfully close your books.

We help you make it a success every year!

Secure Your Data in the Cloud

If you are doing business in finance, health care or the government, which are in need of highly protected data management procedures, you know security is an essential part when you are looking for a cloud solution.

According to Gartner’s report, the cloud-based security services market totaled $2.1 billion in 2013 globally. Gartner also expects the market to grow up to $3.1 billion until 2015.

“Encryption will be a new area of growth, but it remains a complex activity. The strongest interest will be in encryption products from cloud security brokers, which are relatively easy to deploy and have options for on-premises encryption management”, said Ruggero Contu, research director at Gartner

This projection anticipates an increasing demand for cloud security services. The good news is at WebSan Solutions your data is secure and accessible when you need it! We offer a hosted-enterprise business software solution, leveraging the vast capabilities of Microsoft Dynamics GP. Our Hosted Dynamics GP solution is maintained in our state-of-the-art Tier II SAS70/SSAE16 certified data centre located in Toronto, Canada.

Data Security in the Cloud

The most arguable myth about cloud ERP solutions refers to organizational data not being as secured as in an on-premise solution. In fact, SaaS security and privacy of data has proved to be customers’ biggest concern.

The top 4 most important issues about data security in the cloud are:

1. Your data storage location

This issue is related to the physical location of the data. When it comes to cloud ERP vendors, their data centers are housed in multimillion dollar facilities and have a 24/7 security all year long. After all, most cloud providers are actually better with physical security than an onsite solution vendor because they don’t have a lot of staff hanging around the facility. Thus, they are able to control physical access to various parts of the office space.

2. Who has access to your data and when

Access is critical when considering SaaS. You should be aware of whether or not outsiders can get to the data, for example for auditing purposes. Even if cloud ERP providers have Service – Level Agreements (SLAs) on who has access, it is important to ask if local governments can overrule that agreement and in what ways.

3. What device you are using to access data

Devices have different levels of security. Some devices are harder to log in, while some don’t need any log-in information at all. When accessing your data from an application, keep in mind that data access via a mobile application is different than the regular one from a browser.

4. Usability can sacrifice security

Sometimes businesses complicate the authentication process by providing users with numerous passwords for different scenarios, putting overall data   security in danger, since employees might have to write them down and expose them.

At the end of the day, entrusting private business data to an outside hosting service is still making some organizations skeptical. That is, cloud adoption is shadowed by security concerns. Nevertheless, you should consider that security and privacy issues exist whether an organization decides to subscribe to a cloud ERP Solution or license ERP software and implement it onsite.

WebSan Solutions offers a hosted-enterprise business software solution, leveraging the vast capabilities of Microsoft Dynamics GP. Our Hosted Dynamics GP solution is maintained in our state-of-the-art Tier II data center located in Toronto. Your data is secure and accessible when you need it!
