Business Portal will be discontinued in Microsoft Dynamics GP 2015

Microsoft has announced that Business Portal and Microsoft SharePoint Server 2010 runtime will be discontinued from Microsoft Dynamics GP 2015.

However, the core Business Portal functionality will be included in the GP 2015 web or desktop client. According to Microsoft's Kelly Obach, Manager of the Executive Business Center:

"The plan is to basically phase out Business Portal as we release apps or modules inside Dynamics GP that replace the same functionality".

So, for those clients that would like to purchase or upgrade to Dynamics GP 2015, Business Portal will no longer be available.

In the meantime, you can have a look at WebSan's Time and Expense Management System that seamlessly integrates with Dynamics GP and offers similar, if not better, functionality to Business Portal. From timesheet and expense management to approvals, advanced reporting and purchase orders, our Time and Expense System can improve your employee's productivity and your company's profitability.

Customer Relationship Management in the New Digital World

In today’s digital world, it is vital for you to manage your relationships with your customers systematically by taking advantage of new technology efficiently and profitably. The traditional linear customer relationship management is being replaced by a multidimensional digital journey.

Salespeople’s and marketer’s focus has been shifted from selling products and services through a website to a targeted customer experience. While it is true that you can get hints of a visitor’s intent on your website, nothing can give you a clearer picture of their needs than a Customer Relationship Management (CRM) System, like Microsoft Dynamics CRM 2013..

A CRM system can offer your business a powerful competitive advantage by capturing all the different states of a customer’s lifecycle, from visiting your website and downloading an e-book to signing up for a demo and buying a monthly subscription. In turn, you will be able to take action based on rich insight and not just assumptions about your costumers, i.e. find out how to retain existing customers, get new ones and increase your sales.

Here are some of the main benefits that a CRM system can offer to your customer experience journey: Identifying and anticipating your customers’ needs Forecasting and planning your sales Closing and following up sales Measuring your sales force performance and setting targets Managing customer service

The quality of the customer experience on your website is the starting point of any new customer relationship and then everything can be centered on your CRM system. This is basically your company’s integrated framework to fill in any information gaps about your customers track lead activities, measure customer satisfaction and provide excellent after-sales support at any given time. Also, CRM software can help you identify opportunities, automate your sales and marketing processes and provide an overall unified customer experience.

New Dynamics GP 2013 R2 Features for the General Ledger

Here are some of the new exciting General Ledger features that Microsoft Dynamics GP has to offer in its new release GP 2013 R2:

Dynamics GP users will now have the option to reverse the General Ledger Year-End Closing Process in order to open one or more previous historical years, whereas in previous releases one was not able to perform this, according to Andy Sather, member of the Microsoft Dynamics GP Community.

This feature will be very helpful in troubleshooting year-end closing issues as well as allowing users to post transactions to previously closed years. Remember to make restorable backups both before and after re-opening each year in case there are any issues. Be cautious, though, because this process will clear all Balance Brought forward records from the previous year and new records will be created once the year is re-closed.

Also, users will now be able to quickly copy data from Excel sheets into the Financial Transaction entry form. Validation rules exist and if any errors pop-up they can be easily corrected. This new system capability will be a great time saver for those Dynamics GP users who prefer to save their entries in Excel files first. Note that for now this feature is only available in the General Ledger Transaction Entry window.

to learn more about how to utilize these features to its full potential and decide when you need to upgrade.

What does my CRM Data mean?

Lead – This is the qualifier for a sales opportunity. Perhaps someone you met at a trade show that might not be a qualified lead, but you want to keep in touch with them.

Opportunity – Once you qualify your leads, you would convert them to an opportunity. For example, a lead that you have spoken to whom has shown interest in your product.

Account – Once you have closed business with that person, you would 'win' the opportunity and convert the person / company to an account.

Email Templates in Microsoft Dynamics CRM

One of the powerful marketing tools on Microsoft Dynamics CRM is an Email Template which will allow your sales team to mass email groups of contacts.

To create Email Templated within CRM, navigate to the Settings Tab, then Templates under the Business section. Select the Email Template button.

Note: The Outlook Client & Web Client will both look slightly different. However, both have the same options, so users should be comfortable using both.

CRM will then ask the user for a Template Type.  This will restrict the template to certain groupings of data from within CRM.  For example, if one selects a Template Type of ‘Contact’, CRM will restrict the template data to CRM contacts.

Benefits of Moving Your ERP to the Cloud

Several systems are now being integrated with or migrated into the cloud. Discussions regarding media sharing, searching, and collaboration systems will normally note that such forms of systems are on the exterior of the core business of the company. Because of this, it becomes a great idea to move your ERP to the cloud.

Just like any other businesses, you also demand scalability, flexibility, and security. The cloud offers all of these necessities and, what's more, it is really affordable. So, if you still can’t make up your mind on whether you will move your ERP to the cloud or not, the following are the advantages that may help you make the right decision.

Small Initial Investment

Services are given on a pay-as-you-go, subscription basis. This only means that the implementation of the cloud-based ERP system could hugely lessen the initial capital amount of investing within the ERP system. A lot of vendors might also guarantee that they won’t increase costs once you go on with the utilization of the system even the term has already expired.

Prompt Implementation

Ah, Microsoft’s Patch Tuesday.

For most, it is a day of thrills and excitement *eye roll*. For system administrators, it is a day of skepticism and uncertainty. It reminds me of an old adage you may be familiar with, “When a door closes, five windows break”.

Microsoft released an update for Remote Desktop Connection (8.1) back in February (KB2830477) to introduce new (native) features from Windows 8.1 and Windows Server 2012 R2 to computers running Windows 7 SP1. There were a few issues that stemmed from the release, including the inability to use smartcard and smartcard devices in RDP sessions. One issue that directly affected our clients was the inability to launch RDP packages from our remote desktop websites. Users could click an application icon, but the packages would not run.

One solution is to uninstall the update (KB2830477) from the respective user’s workstation, thereby reverting back to the original RDP client version. However, this did not resolve the issue for all of our client users. Interestingly, we had a mix of users within the same client organization that either had or did not encounter the issue.

After some extensive debugging, a second solution was found that requires a change to the registry on the user’s workstation. These steps are outlined below:

*Note: Serious issues can occur if registry changes are made incorrectly. Have your system administrator make the required changes, if needed.

New features in Microsoft Dynamics GP 2013 R2

Microsoft Dynamics GP 2013 is scheduled to be released soon, so if you haven’t already upgraded to Dynamics GP 2013, here’s your chance!

Other than report fixes in Dynamics GP 2013 R2, there are much more features that you can look out for! Some of the new features to be released include:

Being able to paste a general ledger entry from an Excel spreadsheet, default sort order for cheques and reprinting outstanding transactions in bank reconciliation.

Leslie Vail explains how to paste a GL entry from Excel: “It’s simple to set up and simple to do. First, your journal entry distributions need to be entered as below on a spreadsheet. Next, highlight the information you want to put into your journal entry, and then put your cursor on the first line of your journal entry. Finally, push the [Post] button and your distributions will populate the journal entry.”

Microsoft said it will space its Dynamics GP updates roughly six months apart in a cycle that is "designed to enhance our new business proposition and bring incremental value to [Business Ready Enhancement Plan] customers on a much more regular basis."

Integrating Fixed Assets with Payables Management in Dynamics GP

In Microsoft Dynamics GP you can add an item in Payables Management or purchase an item in Purchase Order Processing and transfer this information to Fixed Assets. You also have the option of assigning multiple transactions, including both Accounts Payable and Purchase Order transactions to the same asset.

Similarly, a user can assign the same transaction to more than one assets and change transactions that have been assigned to a particular asset. However, if you assign a transaction to an existing asset, you must update the asset book information manually.

In order to enter assets in Payables Management and track them in Fixed Assets, mark the Post PM through to FA option in the Fixed Assets Company Setup window.

If you're using Payables Management, you must add at least one special account in the Fixed Assets Purchasing Posting Accounts Setup window. You can create one or more asset records from a Payables transaction in the Fixed Assets Purchasing Transactions Display window until the total amount of the line item has been applied. Choose Save in the Asset General Information window and the applied amount in the Fixed Assets Purchasing Transactions Display window will get updated. You can then view the information from the selected Payables transaction in the Asset Purchase window.

If you are interested in learning more about Fixed Assets in Microsoft Dynamics GP, join our online training on May 28, 2014 at 1:00 pm EST, where Katrina She, CMA and Application Specialist at WebSan Solutions Inc. will guide you through the processes required to enter, depreciate and retire fixed assets. You will also learn how to perform additional related functions such as changing asset information, mass changes, partial transfers and partial retirements.
