I get this question all the time from prospective Clients who are currently using Simply Accounting or Quickbooks: “We are growing significantly and need a more robust system, but I’m afraid of the complexity of a new system and the costs. How do I know when is the right time to make a move?”

I’ll address this in two parts :

Simplifying the Implementation of Dynamics GP

Dynamics GP is a robust financial management solution. Note that I did not use the term “Accounting system” because it is so much more than that. Dynamics GP has over 700 reports that come with the system, let alone the reports that you can customize on your own with tools such as Smartlist Builder or Report Writer.

Moving from Simply Accounting (or Quickbooks) can be done quite easily and without much time or expense. For example, to implement 5 users on Dynamics GP and convert your information from the legacy accounting software can take as little as a month and cost less than $30,000. If you choose to implement Dynamics GP hosted solutions, a single user can cost as little as $250/month.

The approach to convert Quickbooks or Simply Accounting to Dynamics GP is done using a refined project methodology and the results are reliable and repeatable. This makes your transition to Dynamics GP as painless as possible.

Is Software as a Service (SaaS) a Passing Fad?

I’ve heard people say that Software as a service (SaaS) is the “best thing since life’s bread” and I’ve also heard others claim that it’s just the newest thing and it will pass.

The best analysis I’ve seen on the subject came from an associate of mine, Pat Gray, in his blog on “Cloud Computing for Mere Mortals”.

His analogy was that determining whether SaaS is right for your company is the same as making a “make/buy” decision when procuring product for a company. You have to take a look at the ENTIRE picture (cost, strategy, capabilities…) to determine the right course of action.

For instance, if I’m selling coffee, then I need to look at the costs of procuring it from the various sources out there, or is it more economical for me to purchase a coffee plantation in South America and make my own beans? If I’m not really in the business of managing coffee growers directly, then why don’t I focus on what I’m good at, the marketing and sale of coffee, rather than the actual manufacturing of it?

Software as a Service (Saas) vs. On-Premise Dynamics GP

The world is changing…companies are looking more and more towards “the cloud” for their computing needs. It started with CRM systems, which some organizations consider “not business critical”, but now the cloud has encompassed full-blown Enterprise software and Microsoft Dynamics GP is no different.

So what is driving this trend towards Hosted solutions? Is it cost? Is it efficiency, or is it just a passing fad?

Aberdeen (c) reports recently released a study that highlighted the fact that the number of small to medium companies looking towards hosted solutions has increased substantially since 2009.

What’s driving organizations into the Cloud?

What I’ve found with my Clients and interactions with “soon to be” Clients is that cost is not the biggest driver pushing people into the Cloud. It’s strategy and focus. In other words, some organizations realize that their expertise does not lie with maintaining servers and upgrading system patches. They reserve those efforts for others while they remain laser-focused on growing their business effectively and efficiently. They let others worry about keeping their systems up to date and working properly…as they should.

When a company can find a “best of breed” accounting system like MS Dynamics GP available in the Cloud as a Hosted solution, then the decision is relatively simple. Microsoft has ingeniously developed a business model whereby their VARs (Value Added Resellers) can now offer Dynamics GP as a Hosted system. It’s quite competitively priced against other Cloud ERP systems (eg: NetSuite). Since Microsoft is still heavily investing R&D $’s in the future of MS Dynamics GP, the competition is going to struggle to keep up.

SaaS Dynamics GP and Business Intelligence

We've recently partnered with an organization that provides nothing but business intelligence tools for Dynamics GP, NAV and AX.

The fact that we've partnered with a BI company is, in itself, not all that remarkable. The remarkable piece is that we offer it as part of our Hosted Dynamics solution! It's very reasonably priced on a per user/month fee and works exactly like the on-premise solution!

Technology for business intelligence solutions have come a long way (MS Silverlight and Excel 2010) and Hosted Dynamics GP is bringing some serious capabilities to the table for business intelligence.

Not to say that the existing reporting tools in Dynamics GP aren't great (SQL reporting services, Smartlist Builder, Report Writer, Management Reporter), but to really take your organization to the next level, you'll want to take a serious look at a Business Intelligence tool.

SaaS ERP vs. On-Premise; what's right for your business?

I read an interesting article today from Aberdeen research. It went into great detail on what is really driving companies towards SaaS (Software as a Service)/Hosted ERP solutions vs. the traditional On-Premise solutions.

For the record, the number of companies installing On-Premise ERP solutions still far outweighs the number going live with a hosted solution, but that trend is slowly reversing itself.

The number one driver for implementing an ERP in the Small-to-Medium Business market is to reduce costs (no surprise there). Thus the number one impetus which would push a company to invest in ERP is finding an affordable solution at minimal risk. This is where the SaaS model fits in quite well.

SaaS total cost of ownership is less than On-Premise when you consider backups, hardware, IT staff, upgrades and service packs (bug fixes). A lot of companies are looking to outsource providers to host their ERP systems and take care of the "maintenance" of the system that their own staff would traditionally have to handle. The main cost considerations that drive the appeal of SaaS are :

  • Lower total cost of ownership
  • Reduces the cost and efforts of upgrades
  • Lower up front costs
  • Company has limited IT staff and no interest in hiring more
  • Seeking the best fit solution to their business needs
  • No emotional attachment to having it in-house
  • Strategy to focus resources elsewhere

Because of these driving factors, the number of companies considering SaaS ERP has jumped 61% from 2009 to 2010 (source : Aberdeen SaaS ERP : Trends and Observations 2010).

To CRM or not to CRM, that is the question!

There is much heated debate about CRM systems in the marketplace. Many companies have invested thousands, if not hundreds of thousands of dollars into a new CRM system that the sales reps won't touch with a 10-foot pole.

The funny irony is that all companies have customers and all companies have some way of keeping information in a spreadsheet or accounting system of who their customers are and some characteristics of that customer. GP 2010 - Multi Level Service Call Escalation

Service calls can now be escalated to additional managerial levels. The Service Type Escalation window has been modified to include a new Manager Level field.  When a call is escalated, an e-mail to the technician's manager is sent.  This can now be sent to two additional levels of management directly above the technician's manager. One can specify the number of levels to e-mail, including:

  • The manager of the technician on the service call
  • The manager's manager
  • The manager of the manager's manager

The Service Call Escalation window also now supports multiple technicians for each call.

GP 2010 - Further Payroll Integration

Users of US Payroll in Dynamics GP will love the new integration points from other modules within Dynamics GP.

One such integration point is with the Field Services module.  Direct & indirect labour postings that create Payroll transactions can be made in Service Call Management & Depot Management.  This integration allows for Payroll to captures the cost from the employee's pay code into the labor record in Field Service.

A Post to Payroll check box has been added to the Work Type Maintenance & Depot Station Maintenance windows that when selected, enters the value from the window's corresponding Pay Code field, representing an hourly pay code.

GP 2010 - Non-Inventoried Items in Service Management

Field Services now allow the use of non-inventoried items.  Service Calls or POs can be entered for non-inventoried items representing labour, expenses or misc charges.  Preventative Maintenance events can even include non-inventoried items.  Contract Administration, Returns Management & Depot Management all now allow the use of non-inventoried items.

GP 2010 - Kits in Service Management

The Service Management module now allows for processing of Kit Items.  When a kit item is entered in the Service Parts window, the kit's components are added automatically to the Service Line table; although, they can be deleted if necessary.  Note: the quantity ordered cannot be partially allocated.  Through the Service Management module, POs can now be created for kit component items on a service call.

Kits can also be entered in Returns Management, Preventative Maintenance, on Contract Lines, or on the Parts line for Depot Management Work Orders.

GP 2010 - MRP Move Outs

The Item Resource Planning, Site Resource Planning & MRP Order Detail windows have all been updated to incorporate a ‘Move Out’ fence.  The new logic allows for rules that determine if & when to suggest moving or canceling a purchase order or manufacturing order.  A Move Out is suggested when an item’s Projected Available Balance will be greater than the item’s Order UP To Level.

As GP calculates an item's Projected Available Balance for a specific time period, MRP will include supply order moves & cancel suggestions that impact the quantities occurring in that time period.

GP 2010 - Security Upgrades (Part 2)

In previous versions, users would be able to view the module's Navigation Pane regardless of whether it was used or not.

In GP 2010, Administrators control which Navigation Panes are available to users and which are not.  Unnecessary navigation buttons can be limited at the user or at the company company level.

GP 2010 - Security Upgrades (Part 1)

System Administrators will find setting up new users in GP 2010 much quicker.  User Security setting can now be copied from the security of another user.

In order to help reduce the likelihood of incorrectly assigning permissions, Administrators can filter security windows in order to view only the selected:

  • Operations assigned to tasks
  • Tasks assigned to roles
  • Roles assigned to users

GP 2010 - Negative Cash Receipts

Cash receipts may now be entered as a negative currency value within GP 2010.  This will subsequently decrease the deposit amount of the cash receipt by the value entered in the Amount field.  Furthermore, the posted receipt will show up as a deposit with a negative amount.

The negative cash receipt can be applied similar to any regular cash receipt, except the outstanding amount of the invoice will increase, instead of decrease.  Users experiencing returns, bad debt or miscellaneous fee issues will undoubtedly love this new feature.

When making payments in GP 2010, users will be given additional restriction possibilities in Select Checks window.  New restrictions can be place on the following fields:

  • Vendor IDs
  • Vendor names
  • Class IDs
  • payment priorities
  • voucher numbers
  • document numbers
  • due date\discount date cutoffs
  • document currency
